How does an AI booking assistant actually work?
It books against your real availability, not a guess.
A customer asks for a time. The assistant checks what’s actually free — in your calendar, your booking system, or whatever holds the truth about your schedule — and answers from that.
If the slot is open, it takes what’s needed to confirm: name, number, how many people, the service, whatever your business requires. Then it writes the booking where your team already looks for it, and confirms to the customer.
If the slot isn’t open, it says so clearly and offers the alternatives that exist.
It doesn’t confirm a booking you can’t deliver, it doesn’t assume a slot is free on its own, and it doesn’t accidentally book the same time for two customers.
By the time your team opens the calendar in the morning, the booking is already there under the customer’s name.
Can it reduce no-shows?
That’s usually where the money is.
The assistant sends the customer reminders before the appointment — at the timing we agree with you, on the channel they booked through. A day before, a few hours before, or more than once, depending on your business.
More importantly, it can handle the reply too. If the customer says they can’t make it, the assistant can cancel or reschedule according to the agreed rules, and put the slot back into availability — rather than you discovering at the last minute that they aren’t coming.
That matters more than the reminder itself. A reminder tells you the customer might not come. A reminder plus a clear cancel-or-reschedule path gives you a chance to offer that time to someone else.
This matters most for appointment-based businesses — salons, service centres, and clinics — where every empty slot is time you can’t get back.
Does it work with my existing calendar or booking system?
That’s the goal, and it’s the first thing we check before we start.
The assistant is designed to work on top of the system you already use, as far as possible — not to force your team to change how they work entirely. Your team carries on using what they’re used to.
But whether it can connect depends on the system itself. Some booking systems and calendars offer a clean integration, some need an intermediate step, and some don’t allow the kind of integration required at all.
So we review your setup before promising anything. And if your current system would need to change before bookings can be automated properly, we tell you that from the start.
What happens when a booking needs a person?

Some bookings shouldn’t be automatic: a large group, a special request, a complaint attached to a reservation, anything with a price that needs agreeing.
Before launch we set the rules with you — which bookings the assistant handles end to end, which it prepares and passes to a person to confirm, and what happens outside working hours.
We’d rather it hand over too often than confirm something you can’t deliver.
How does pricing work?
Two clear parts.
Setup cost. It varies with scope: which systems need connecting, how your availability is structured, how many services or resources you’re booking across, and what your reminder and cancellation rules need to look like. We understand the work first, then give you a clear number.
Usage cost. Running the AI and processing conversations has a real cost, so part of the price is tied to how much it’s used.
We don’t take a share of your income. No percentage of your bookings, no commission on a customer the assistant booked.
